How to schedule recurring tasks in ChatGPT
The weekly report you build by hand every Monday can build itself. Here is how to set up a ChatGPT scheduled task in five steps, with a prompt you can copy. No code needed.
The five steps
- 1
Pick one task you repeat every week
Start with something boring and predictable: a Monday metrics summary, a Friday recap of open projects, a daily digest of new customer feedback. If you can describe it in three sentences, ChatGPT can run it on a schedule.
- 2
Write the prompt as if for a new colleague
Say what to look at, what to produce, and in what shape. Name the sources (a shared sheet, a folder, your inbox), the numbers you care about, and the format you want back, such as five bullets and one chart.
- 3
Ask ChatGPT to run it on a schedule
Add the timing in plain words: "Every Monday at 8:00, …". ChatGPT turns that into a scheduled task. Menus change between versions, so if you get stuck, the walkthroughs below show the current screens.
- 4
Run it once by hand and fix the gaps
Before trusting the schedule, look at the first result. Missing numbers or vague summaries almost always mean the prompt left something out. Tighten it once, and every future run gets better.
- 5
Decide where the result lands
A report nobody opens saves no time. Have it sent where you already look on Monday morning, and keep a person reviewing it before it goes to your team.
A prompt to copy
Swap the brackets for your own tool and numbers.
Every Monday at 8:00, review last week's numbers in [your sheet or tool]. Give me: 1. The three metrics that changed most, with the % change. 2. One chart of weekly signups for the last 8 weeks. 3. Two sentences on what likely caused the biggest change. Keep it under 150 words. Flag any number you could not find instead of guessing.
